Submit a Request for a New VPN Connection to Your Clinic

Secure VPN access allows authorized users to connect remotely to clinic systems while maintaining PHIPA-compliant security controls. Follow the steps below to submit a request for new or updated VPN access.


Step 1: Confirm Authorization

VPN access is restricted to approved clinic personnel only. Before submitting a request:

  • Ensure the request has been approved by your clinic’s authorized approver

  • The Echoplex team will verify approval before completing any VPN changes


Step 2: Gather Required Information

To avoid delays, please collect the following information before submitting your request.

Clinic & Approver Details

  • Clinic Name

  • Name of Authorized Approver

    • First Name

    • Last Name

  • Email of Authorized Approver

  • Phone Number + Extension

  • Fax Number (if applicable)

For security reasons, Echoplex will confirm this request with the authorized approver before access is granted or removed.


Step 3: Specify the Type of Action Requested

Indicate the action you are requesting:

  • Add Remote Access for a new user

  • Remove Remote Access for an existing user

Please submit separate requests for each user.


Step 4: Provide Remote Access User Information

For each user requiring VPN access, include:

  • Remote Access User Name

    • First Name

    • Last Name

  • VPN User Phone Number

  • VPN User’s Email Address

  • Type of Remote Access Needed

    • Full network access

    • EMR-only access

    • Application-specific access

  • Computer Type

    • Clinic-managed workstation

    • Clinic-managed laptop

    • Personal device (if permitted)


Step 5: Add Special Instructions (If Any)

Use the Special Instructions field to include:

  • Expected start or end date for access

  • Limited hours or temporary access

  • Compliance or security considerations

  • Any clinic-specific policies or restrictions

Avoid including patient-identifying information.


Step 6: Submit the Request

Following this process ensures secure, compliant, and auditable remote access to your clinic systems.
